Mail merge with a CSV address list
One letter for many recipients: upload the template as a PDF or choose it from the editor, import the recipient list as CSV, check the addresses and send all letters in one job via Deutsche Post.
Overview
What is a mail merge?
A physical letter that goes to many recipients in identical form – only the address and, if you like, the salutation change. The recipients come from a CSV file or your address book.
Save time & cost
No printer, no envelope, no trip to the post office. briefsenden.com takes care of printing, enveloping and franking for you.

How it works
Upload a PDF template once and import your recipient list as a CSV file. The system validates all addresses, creates an individual letter for each recipient and hands the items over to Deutsche Post.
Mail merge already finished?
If you have already created your letters with Word mail merge and the addresses are in the document, you need no CSV file. In "split PDF" mode you upload the finished PDF.

How sending a mail merge works
Four steps from CSV file to finished bulk mailing.
Upload or choose a template
Upload your letter as a PDF (A4, first page portrait, up to 20 MB) or choose a saved template from the editor. Leave the address field empty: the system prints each recipient’s address there when sending.
Import a CSV with recipients
Upload your recipient list as a CSV file. The system detects semicolon or comma as delimiter itself and maps the columns by the header row. You can change every mapping before importing.
Check the addresses
Before importing, the dialog shows how many addresses are valid. Rows without name, street, postcode or city are not imported. The preview shows the finished letter to the first address in the list.

See the cost & start
Before starting you see the coins for the whole mail merge. After that the letters appear one by one in your letter overview, each with a status until handover to Deutsche Post.
Full control over every dispatch
Salutation, sender profile, colour printing and registered mail – with a cost preview before starting
Salutation with placeholders
In a saved template from the editor, the salutation contains the placeholders {firstName} and {lastName}. When sending, the system fills them for each letter from the recipient’s name.
Sender profiles
Choose a sender profile for the mail merge. The sender line and a cover page stored with the profile apply to all letters of the job.
Colour & duplex
Black and white or colour, single- or double-sided: the options apply to the whole mail merge and go straight into the cost preview.
Registered mail options
Einschreiben, Einschreiben Einwurf or Einschreiben with Rückschein for all letters of the job, within Germany and printed single-sided. Every registered letter gets a tracking number.
Cost preview before sending
Before sending you see how many coins the mail merge costs in total. The calculation includes page count, colour mode, duplex and registered mail.
Address book integration
Imported CSV addresses are saved automatically in your address book. For your next mail merge you pick recipients straight from the address book without uploading a CSV file again.
Use cases
What is a mail merge good for?
Wherever all recipients get the same text. If each letter has its own content, such as invoice amounts, create the letters beforehand and use "split PDF".
Club and association news
Inform your members about annual general meetings, fee changes or club news. Export the member list from your membership software as CSV and send all letters in one job.
Customer information
Price changes, new opening hours or a move: one letter to all customers, with the recipient list as a CSV from your customer management.
Tenant information
Property managers announce maintenance appointments, meter readings or owners’ meetings to all tenants of a building with one letter.
Advertising letters
Product announcements or voucher campaigns to your customer list, with a personal salutation from the template and in colour if you like.
From 5,000 advertising letters per campaign there is also Dialogpost, the Deutsche Post advertising rate.
CSV format in detail
Compatible with Excel, Google Sheets, LibreOffice Calc and other programs with CSV export. Semicolon or comma as delimiter are detected automatically.
