Send a mail merge from a PDF
Your mail merge is already finished, for example from Word mail merge? Upload it as one PDF. We split it into individual letters, read every address from the window area and send everything via Deutsche Post.
Split PDF
From the finished PDF to the sent mail merge
You need no address list: the addresses are already in your letters.
Upload the mail merge as a PDF
In the dashboard choose the "split PDF" mode and upload all letters as one file: A4, at most 20 MB and 188 pages. The system adjusts other page sizes automatically.
Pages per letter
Letter 1
Pages 1–2
Letter 2
Pages 3–4
Letter 3
Pages 5–6
Enter the pages per letter
Enter how many pages one letter has. With two pages, pages 1–2 form the first letter, 3–4 the second and so on.
Check the addresses
The system reads each letter’s address from the window area and checks it against DIN 5008. In the table you correct incomplete addresses or skip individual letters.

Confirm and send
Before starting you confirm all recipients in an overview and see the cost. We print, envelope and frank every letter and hand it over to Deutsche Post.
Preparation
How to prepare the PDF in Word
Other programs work the same way: in the end you have a PDF in which all letters are the same length.
- 1
Finish the mail merge
In Word go to "Mailings" → "Finish & Merge" → "Edit Individual Documents". Word creates one document with all letters.
- 2
Save as a PDF
Save this document via "File" → "Save as" with the file type PDF. Each letter starts on a new page there.
- 3
Same number of pages per letter
All letters need the same page count. If a letter is shorter, add a page break so the split does not shift.
- 4
Address in the window area
The recipient address is on the first page of every letter in the address field according to DIN 5008, exactly where a window envelope shows it.
What happens when splitting
Before a letter is printed, you see every detected address and decide yourself.
Address from the window area
The system looks first in the address field of a window envelope; if there is no valid address there, in the extended address area of the first page.
Check against DIN 5008
If the postcode or city is missing, for example, the table marks the letter. You can only start once every letter has a valid address or is skipped.
Correct without a new PDF
If you change an address in the table, the system covers the address field and prints the corrected address.
Skip individual letters
One letter should not go out? With "skip part" it stays behind. Only letters actually sent are charged.
Preview per letter
A click on a row shows this letter in the preview, as it will be printed.
Options for the whole series
Colour or black and white, single- or double-sided, registered mail and sender profile are chosen once for all letters of the PDF.
Which PDFs you can split
Wherever a program writes many letters into one file, you save yourself splitting them by hand.
Word mail merge
Personal cover letters you merged in Word with an address list and saved as one PDF.
Reminder runs
Payment reminders and dunning letters from accounting, one page per reminder, address in the window area.
Property management
Service charge statements and rent increases from your management software, each letter with its own figures.
Batch invoices
Invoicing software that writes all invoices of a run into one file, if every invoice has the same number of pages.
Payslips
Payslips from your payroll software as one PDF, each payslip to the employee’s address.
Club mail
Membership invoices and donation receipts with individual amounts from your club software.
No finished PDF yet?
If every recipient gets the same text, use a mail merge with a CSV address list. You can design the template in the letter editor.
